Solution blueprint: AI lead qualification for a building materials e-commerce platform
An AI call within 60 seconds, follow-up that does not stop at one attempt, and every lead routed as HOT, WARM or COLD.
What the system is designed to do
60 sec
from form to AI call, at any hour
24/7
coverage, including evenings and weekends
Up to 7
automated touches over 48 hours
2 hrs
sales response target for HOT leads
An Indian building materials e-commerce platform sells to trade professionals and to homeowners. Its paid ads bring in high-intent visitors, but manual follow-up meant too few became real opportunities. EvolvWorks designed an AI-led qualification system: an AI voice agent calls every new lead within 60 seconds, WhatsApp and email follow up automatically, and each lead is scored and routed as HOT, WARM or COLD. This page sets out the design, not measured results.
Problems with the traditional process
The platform's manual process had four leakage points, all after the click.
| Problem | What happens |
|---|---|
| Junk lead saturation | Sales staff spend much of their time filtering unqualified leads, taking focus away from buyers who are ready to purchase. |
| Off-hours gap | Leads that arrive after 6 PM or at weekends get no engagement until the next business day, and interest drops away. |
| Slow speed to lead | First responses take hours, missing the minutes when a buyer is most engaged. |
| Limited follow-up | Manual calling capacity allows only one or two attempts per lead. |
Paid traffic arrives, a form is filled in, and the lead waits. By the time a person calls, the buyer may have moved on.
The way we solve it
The blueprint replaces the waiting with an always-on AI qualification engine. Sales staff and store teams stay in the loop, but only for leads worth their time.

Step 1: Smart capture
A short landing page form captures six signals: name, WhatsApp number, email address, customer type (trade or home), profession or role, and project pincode. Entries are validated in real time and checked for duplicates.
Step 2: AI engagement within 60 seconds, 24/7
The form triggers an AI voice call within 60 seconds, at any hour, asking whether the purchase is for a home project or business use, and what the buyer needs. If the call is missed, a WhatsApp message with a relevant offer follows at 5 minutes and a personalised email with specs and pricing at 15 minutes.

Step 3: Fit and intent scoring
- Form data: customer type and profession
- Location: how close the project pincode is to a store
- Digital footprint: past visits and browsing history
- Conversation signals: analysis of the AI call transcript
Step 4: Three-tier routing
| HOT | WARM | COLD | |
|---|---|---|---|
| Criteria | High fit, high intent | Medium fit, medium intent | Low fit, low intent |
| What happens | Immediate handoff to a senior sales rep or the store, with a website and store offer unlocked | A 7 to 14 day nurture across WhatsApp and email, promoted to HOT when engagement spikes | A polite close with self-serve resources, and removal from the sales queue and dialler |
| Service level | Sales response within 2 hours | Automated nurture, no fixed sales response time | No sales touch. Re-checked after 90 days |
HOT leads follow the fastest path: the AI call confirms need, a WhatsApp link opens the catalogue, the buyer browses a guided selection, and an exclusive offer unlocks at checkout. The CRM marks the opportunity as won when the purchase completes.
Step 5: An organic layer for demand without ad spend
Paid ads stop when the budget stops. The blueprint adds an SEO and AEO programme so the platform can appear in Google results and in AI answers from ChatGPT, Gemini and Perplexity.
| Phase | Timing | Focus |
|---|---|---|
| Audit and foundation | Month 1 | Website audit, competitor gap analysis, mapping the questions buyers ask, and technical fixes for speed, schema and mobile |
| Content and technical build | Months 2 to 3 | 20 to 30 answer-first pages, FAQ and Product schema, citation building, and automated review collection |
| Optimise and scale | Month 4 onwards | Monitoring AI mentions, refining content for AI answers, and extending winning content to adjacent categories |
What the system is designed to change
| Manual process | AI-led blueprint | |
|---|---|---|
| First response | Hours | AI call within 60 seconds |
| Off-hours coverage | None until the next business day | 24/7 |
| Follow-up attempts | One or two manual calls | Up to seven automated touches over 48 hours |
| Qualification | Manual, rep by rep | Automatic fit and intent scoring |
| Sales focus | Every lead, including junk | HOT leads first, with a 2-hour response target |
| Low-intent leads | Still called | Removed from the sales queue, re-checked after 90 days |
| Organic demand | Reliant on paid ads | SEO and AEO programme alongside ads |
A related AI voice qualification system, running live for a global devices brand, averaged more than 10,000 outbound dials a day with every call synced to the CRM.
How implementation works
| When | What happens |
|---|---|
| Before go-live | Readiness audit of the current lead flow. The business shares its product feed and store mapping and approves the call, WhatsApp and email scripts. We configure offer logic, service levels and qualification rules. |
| Weeks 1 to 2 | Setup |
| Week 3 | Go-live |
| Week 4 onwards | Optimisation from live data |
